There’s a moment most owners don’t think about clearly, and it’s the moment a guest sends you their first message.<\/p>\n\n\n\n

To them, it’s the start of something. They’ve been planning this trip for weeks. It’s intended to be a highilght in their year. They’ve imagined the morning coffee on the porch, the kids on the trail or the beach or the slope, the quiet they don’t get at home. Your listing showed up in their search and something about it caught them. They paused. They wrote.<\/p>\n\n\n\n

To you, it can feel like another inquiry \u2014 a few words, a date, a question. An administrative thing. It isn’t.<\/p>\n\n\n\n

Their vacation has already started. You’re now part of it.<\/p>\n\n\n\n

Personality is half the job<\/h2>\n\n\n\n

Once you see the first message that way, the reply gets simpler and harder at the same time. Simpler, because you’re both trying to write a “professional” response and not write it too professionally \u2014 you have to be someone, and you don’t know this guest yet.<\/p>\n\n\n\n

The trap is hedging. Faced with a stranger you want to make a good impression on, the instinct is to be polite, careful, a little blank \u2014 pleasant enough not to put anyone off, bland enough not to put anyone on, either. The clean professional reply is the safe one. It’s also the one that makes every host sound like every other host. Two cabins on the same lake at similar prices will book at very different rates depending on whether the listing reads like a chain hotel or like a real person describing a place they love.<\/p>\n\n\n\n

Personality is the whole job. The guest is choosing partly on amenities and price<\/a>, but mostly on which property feels like somewhere they want to be \u2014 which means partly on whether the host feels like someone they want to deal with.<\/p>\n\n\n\n

You don’t know them yet, so be someone<\/h2>\n\n\n\n

The hard part: being specific without knowing who you’re writing to. Three ways through it.<\/p>\n\n\n\n

Be the best version of yourself.<\/strong> Not your inbox-at-9pm self. The version of you that, if a friend asked about the property, would have something interesting to say within ten seconds.<\/p>\n\n\n\n

Channel the property.<\/strong> Most properties have a personality if you stop and look. Our cottage is a little weathered, a little quirky, unhurried. That’s the voice I’m channeling when I write back. A modern downtown loft, a yurt in the high desert, a ski-in condo, a cabin in the Catskills \u2014 each one comes with a tone. Borrow it.<\/p>\n\n\n\n

Picture your ideal guest, and write to them.<\/strong> Who’s the person you most want walking through the door? Write the reply to that person, even if the actual sender turns out to be someone else. You’ll be closer to honest that way than if you write to a faceless inquiry.<\/p>\n\n\n\n

Dating logic applies<\/h2>\n\n\n\n

The fear underneath the bland reply is the fear of being too much \u2014 making a joke that doesn’t land, mentioning something the guest doesn’t care about, seeming too eager.<\/p>\n\n\n\n

It’s the same fear that makes a first date go flat. You can spend the whole evening so careful not to put a foot wrong that the person across from you can’t tell who you are, and that’s a worse outcome than not clicking. Not clicking isn’t a lost booking. Most guests will accept a host who reads like a real person, even one who isn’t quite their flavor. The host who reads like nobody is the one who blends into the four other listings the guest is also considering.<\/p>\n\n\n\n

The conversation is also longer than the first reply. They’ll write back, you’ll write back, the booking happens, the pre-arrival messages happen. You’ll get a feel for each other. The first message just has to be enough of you that they want to keep going.<\/p>\n\n\n\n

The throughline<\/h2>\n\n\n\n

Their vacation starts the moment they reach out. You’re part of it now, ready or not. Reply as the best version of yourself, or as the voice of the property, or as the host your favorite guest would hope to find. Be someone in particular. That’s the part that travels with them.<\/p>\n\n\n\n
